VCUK Web Services is a small UK web design service helping local businesses with websites, website refreshes, care plans, and related support.

Information we may collect

We do not currently use a website contact form. If you contact us by email or WhatsApp, we may collect information you choose to send us, such as your name, business name, email address, phone number or WhatsApp number, website address, Google Business Profile link, message details, information about your business and website needs, files or assets you send us, and communication history with us.

If you become a client, we may also collect project-related information needed to deliver the agreed work.

How we collect information

We may collect information through email messages, WhatsApp Business or phone messages, discovery calls, client onboarding documents or forms if used later, documents or files you send to us, and publicly available business information such as your website or Google Business Profile when preparing outreach or website review notes.

How we use your information

We use your information to reply to enquiries, provide quotes or website reviews, understand your business needs, deliver website design, refresh and support services, manage projects and client communication, send invoices or admin messages, provide maintenance or care plan support, keep basic records for accounting, tax and business administration, and improve our services and internal processes.

We do not sell your personal information.

Lawful basis for using your information

Depending on the situation, we may use your information because you have asked us to take steps before entering into a contract, we need it to perform a contract with you, we have a legitimate business interest in responding to enquiries, managing projects and improving our services, we need to meet a legal obligation such as keeping tax or accounting records, or you have given consent where consent is required.

Email, WhatsApp and phone contact

If you contact us by email, WhatsApp or phone, we may keep a record of the conversation so we can respond properly and manage any project or enquiry.

Please do not send sensitive personal information unless it is necessary.

Client files and assets

If you send us logos, images, copy, brand assets or website materials, we use them to provide the agreed service.

You are responsible for making sure you have the right to use any materials you provide to us.

Analytics and tracking

At the time of writing, this website does not use non-essential analytics, advertising pixels or tracking tools.

If analytics tools such as Google Analytics, Plausible, Fathom, Meta Pixel, Hotjar or similar tools are added later, this policy should be updated to explain what is collected and how it is used.

Cookies

At the time of writing, this website does not intentionally use non-essential cookies. If essential technical cookies are used by hosting or website functionality, they are used only where needed for the site to work properly.

If non-essential cookies, analytics cookies or advertising cookies are added later, we will update our cookie information and request consent where required.

Sharing your information

We may share information only where needed to run the business or deliver services. This may include website hosting providers, email providers, WhatsApp Business or Meta services where you contact us through WhatsApp, cloud storage providers, project management or documentation tools, accounting or invoicing tools, professional advisers, and other service providers needed to complete agreed work.

We only share what is necessary.

International services

Some software providers we use may process data outside the UK. Where this applies, we aim to use reputable providers that have appropriate safeguards in place.

How long we keep information

We keep personal information only for as long as needed. Enquiries that do not become clients may be kept for up to 12 months. Client project records may be kept for up to 6 years where needed for tax, accounting or legal reasons. Project files and assets may be kept for as long as needed to provide support, unless deletion is requested and we no longer need to keep them.

Your rights

Under UK data protection law, you may have rights to ask what personal information we hold about you, ask for incorrect information to be corrected, ask for information to be deleted in certain circumstances, object to certain uses of your information, ask us to restrict how we use your information, request a copy of your information, and withdraw consent where processing is based on consent.

Keeping information secure

We take reasonable steps to keep information secure, including using trusted tools and limiting access to information where possible.

No method of online communication or storage is completely secure, so please avoid sending sensitive personal information unless necessary.

You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk.
